PEPE training — from signup to go-live
Follow these nine sections in order: create and approve your account, set up the institution, publish forms (website, WhatsApp, social), run workflows, pay via Paybill, and connect integrations. Each step opens the exact screen.
Create your account
Register your institution, wait for approval, then sign in to the dashboard.

Register
Go to Register, choose a plan, and enter your institution name, admin name, email, and a strong password (12+ characters). Use the eye icon on password fields to show or hide what you type. You receive a tenant slug for your organization.

Verify email and wait for approval
Confirm your email from the verification link. A PEPE platform administrator then approves the institution. You cannot sign in until that approval is complete — you will get an email when the account is active.

Sign in
Open Sign in and use your institution email, password, and tenant slug. Use the eye icon to check your password. Platform administrators (admin@pepe.co.ke) leave the tenant slug blank.

Open the dashboard
After login you land on Overview — your home for forms, submissions, and institution KPIs. Open Training anytime for this guide, or tap the green PEPE Assistant chat.

Set up your institution
Configure staff notifications, email delivery, and webhooks.

Open Institution
Sidebar → Institution. Review company profile, header image, and contact details. Platform super admins also use the Approvals tab here to activate new institution accounts.

Approve new institutions (platform admin)
Sign in as admin@pepe.co.ke (leave tenant slug blank). Sidebar → Approvals lists registrations waiting for activation. Approve to let the institution sign in, or Reject to decline. They receive an email either way.

Invite staff
On the Staff tab, invite colleagues by email. Assign roles (Admin, Editor/Officer, Approver/Manager, Viewer) so each person sees only what they need. Editors and Approvers can approve workflow stages.

Set staff notification email
Operations tab → set Staff notification email. New form submissions are sent here with a review link.

Configure outbound SMTP (optional)
Operations tab → Outbound email (SMTP). Enable SMTP, enter host, port, username, and from address, then Send test email. When enabled, customer and staff emails send from your mail server instead of the platform default.

Add core banking webhook (optional)
Operations tab → Core banking webhook URL. PEPE POSTs submission events here for CBS integration.

Create your first form
Build a digital form from scratch, AI, or an existing PDF.

Add fields
Drag field types (text, number, date, file upload, signature, etc.) onto the canvas. Set labels, validation, and help text in the properties panel.

Or digitize a PDF
PDF Converter → upload a paper form. AI detects fields; review and publish as a digital form.

Or use AI
AI Assistant → describe the form you need in plain language. Review the draft, then open it in the form builder.

Save and publish
When ready, Publish the form. Only published forms accept public submissions.

Publish and share forms
Collect submissions on your website, WhatsApp, or social media.

Copy the public link
Each form has a public URL: /forms/{your-slug}/{form-slug}. Copy the link, or share it on WhatsApp, Facebook, X, or LinkedIn from Live forms.

Embed on your website
Copy the iframe embed code from Live forms and paste it into your site. Enable forms in the portal embed checklist if you use the combined portal widget.

Share on WhatsApp or social media
Use the WhatsApp, Facebook, X, and LinkedIn buttons on each live form. Customers open the public fill page and submit without signing in.

Add approvals & workflows
Link a published form to an Officer → Manager → Complete pipeline so every submission gets staged approvals.

Create a workflow
Sidebar → Workflows → New workflow. PEPE creates a default pipeline: Submission → Officer Review → Manager Approval → Complete.

Link a published form
Open the workflow. Under Linked form, choose the published form that should start this pipeline. Without a linked form, submissions will not enter approvals automatically.

Publish the form (if needed)
Only published forms appear in the link list and accept public or dashboard submissions. Forms → open the form → Publish.

Approve stage by stage
When a linked form is submitted, the submission opens In review at Officer Review. Open Submissions → the submission → Approval workflow. Use Approve stage to move to Manager Approval, then Approve again to Complete (Approved). Reject stops the pipeline and marks the submission Rejected. Admins, Editors, and Approvers can act.

Set automations (optional)
Automations → create rules that fire on events (submission received, approved, rejected) to send emails or call webhooks.

Handle submissions
Review filled forms, run approvals, reply to customers, and export data.

Open Submissions
Submissions lists all responses with status (Submitted, In review, Approved, Rejected), date, and form name.

Review a submission
Click a row to open the filled form. Staff can complete official fields, add internal notes, and use the Approval workflow panel to approve or reject the current stage.

Reply to the customer
Use Send to customer on a submission when a respondent email was captured. Attach a PDF if needed; the message sends from your configured SMTP or platform mail.

Use AI tools
Draft forms, analyze statements, and get operational help.

Describe forms, workflows, or compliance questions. Use drafts as starting points in the builder.

Statement Analyzer
Upload M-Pesa or bank statements (CSV or PDF). PEPE extracts transactions, flags patterns, and summarizes cash flow for lending review.

PEPE chat assistant
Click the green chat bubble (bottom-right) on any page — including sign in — for contextual help. Ask “how do I publish a form?”, “share on WhatsApp”, “pay via Paybill”, or “approve an account”.
Billing and Paybill
Pay your PEPE subscription with Lipa Na M-Pesa Paybill.

Sidebar → Billing. Check your plan, trial days remaining, and monthly invoices.

Pay via Paybill
On an unpaid invoice, click Pay via Paybill. Use the PEPE business number, enter the invoice number as the account, and pay the shown amount in M-Pesa. Paste the M-Pesa receipt and tap I’ve paid. Platform admin confirms the payment in Accounting.

Set the platform Paybill number (super admin)
Accounting → Payment credentials. Enable Pay via Paybill, enter the Safaricom Paybill number, and save. Daraja Consumer Key, Secret, and Passkey are optional — they only enable STK Push to the phone.
